At Tapestry Music Ltd. ("Tapestry Music", "we", "us"), protecting your personal information matters to us. This policy explains what we collect, why we collect it, who we share it with, and the choices you have. It applies to our website (tapestrymusic.com) and our stores in White Rock, Vancouver and Victoria, BC.

A.) Accountability

Tapestry Music Ltd. is responsible for the personal information under its control. When we use trusted third parties to act on our behalf, such as processing payments, delivering orders or running our website and email, we take reasonable steps to make sure they protect your information in line with this policy and applicable privacy laws.

B.) What We Collect

• Contact details: your name, email address, phone number, and billing and shipping address.
• Order and account details: what you buy, rent or book (including lessons and repairs), your order history, and your account login.
• Rental information: details needed to confirm the identity of rental customers.
• Payment details: card payments are handled by our payment processors. We do not store full card numbers on our website.
• Website activity: pages you view, products you look at or add to your cart, the device and browser you use, and your approximate location based on your IP address. This is collected with cookies and similar technologies (see section D).

C.) Why We Collect It

We use your information to:

• Process, deliver and support your orders, rentals, lessons and repairs.
• Manage your account and answer your questions.
• Send you emails about your orders and, if you have agreed to receive them, news and offers.
• Understand how our website is used so we can improve it.
• Show you relevant ads for Tapestry Music on other websites and apps, and measure how well those ads work (see section D).
• Prevent fraud and meet our legal and accounting obligations.

D.) Advertising, Analytics and Cookies

We work with advertising and analytics partners, including Google (Google Ads and Google Analytics), Meta (Facebook and Instagram), Microsoft (Clarity), PostHog and Klaviyo, to understand how our website is used and to show you relevant ads.

• Cookies and similar technologies. These partners may place cookies or use similar technologies on our website to record your visits and activity, so that we can measure our ads and show ads for Tapestry Music to people who have visited our site.
• Customer lists for advertising. We may share contact details of our customers (such as email address, phone number, name, country and postal code) with Google and Meta so they can match them to their own users. This information is encrypted (hashed) before it is shared. It is used only to show our ads to existing customers or to people with similar interests, to avoid showing ads to people who have just bought from us, and to measure our ads. It is not used to send you messages.
• We do not sell your personal information.

Your choices:

• To stop us using your information for advertising, including customer lists, contact us (see section K). We will remove you from future lists.
• You can unsubscribe from our marketing emails at any time using the link in any email.
• You can block or delete cookies in your browser settings.
• You can manage ad personalization at Google (adssettings.google.com) and Meta (facebook.com/adpreferences).

Choosing not to receive marketing emails or advertising does not affect your orders, rentals or account.

E.) Consent

We collect, use and share your personal information only for the purposes described in this policy, or with your consent. Consent may be express or implied, depending on the situation, how sensitive the information is, and what you would reasonably expect. For example, it may be given through a check-off box, online, in person, by phone, or by your conduct, such as placing an order. You may withdraw your consent at any time with reasonable notice, subject to legal or contractual restrictions. We will explain what withdrawing consent means for you.

F.) Limiting Collection

We collect only the information we need for the purposes in this policy, and only by fair and lawful means.

G.) Limiting Use, Sharing and Retention

We use and share personal information only for the purposes in this policy, unless you consent or the law requires it. We share information only with:

• Service providers who help us run our business, such as payment processors, financing providers (for example, Affirm, if you choose it), shipping carriers, and our website, email and analytics providers.
• Advertising partners, as described in section D.
• Authorities, when the law requires it.

We keep personal information only as long as we need it for these purposes or as the law requires, for example records of past sales for accounting. See our Data Retention page for details.

H.) Accuracy

We work to keep your personal information accurate and complete, and we will update it when needed or when you ask us to.

I.) Safeguards

We protect personal information with safeguards suited to how sensitive it is. These include physical measures (restricted access, secure storage and proper disposal), organizational measures (access only for staff who need it) and technical measures (such as encryption).

J.) Openness and Access

You may ask us what personal information we hold about you, how it has been used and who it has been shared with, and you may ask for a copy. We may refuse access only where the law allows, for example where it would reveal information about another person or is protected by legal privilege. If you believe any information is inaccurate or incomplete, you can challenge it and we will correct it as needed.
